SETTING UP AUTOMATIC PRINTING OF WEB APPOINTMENT EMAILS

Open your practice’s Office Outlook programme. This does not work with your browser based Outlook.


Find an old Web appointment email in your Outlook email client’s inbox or deleted folder. Then right click on this email. Wait a moment for the pop up menu to display, then select ‘Rules > Create rule…’ on this menu, and sub-menu.

The Create Rule window shown below opens.

Click, ‘Subject contains [New appointment: Web appointment - Eye Test]’ Click the ‘Advanced Options…’ button

On the Rules Wizard window that opens, don’t change anything, just click the ‘Next >’ button. The window will change to that shown below.

Then on the Select action(s) list, click on the ‘print it’ option. (And note that a bit further down this list you can also get it to display a message on the screen that a web booking email has been received, should you want to do this as well), then click on the ‘Finished’ button.

You will then get a message that the rule that you have just created will only work if using Outlook,it won’t work if you are using a web based email client.

To make sure that this is working, just go online and created a dummy web appointment. Hopefully you will get a print out of the web booking email.
